Free Marketing – The Signature Line

If you’re not taking advantage of using a signature line in all your electronic correspondence, then you could be doing a disservice to your business. Maybe you think a signature line is not that important or that the people you email already know you, so why would you tell them what they already know? The truth is, you could be missing out on business opportunities by not promoting your products, services, or events.

How many email messages do you send out every day? More than 10, 25, or maybe 50? You already have a very targeted audience, whether you are emailing customers, prospects, members, press, or employees – and it isn’t costing you a dime of your marketing budget. Also consider this: people forward email messages to others all the time, so your audience isn’t limited to those whom you send emails. It has now been released to more people who may not even know you…yet!

I have personally had inquiries from people I emailed for technical support or with general questions about their product or service because they saw my signature line and either visited my Web site or wanted to know more about Virtual Assistance and how I could help them.

But what constitutes a great signature line that gets attention from your audience? You’re not going to catch any fish if your signature line only contains your name and phone number. Consider each and every email you send a business card advertisement. There are obvious must-haves, like your name, company name, Web site address, tagline, and phone number. But don’t go overboard by adding your mailing address as you don’t want your signature line to be a novel. Your email address is really not necessary since it is already included in the To box of the email.

Try these tips when creating your signature line and make them take notice:

• Announce a new service, program, product, catalog, or publication.
• Include an invitation to an event, conference, webinar, or teleclass.
• Offer a subscription to your blog or eZine.
• Highlight your services or products.
• Offer a coupon or discount for your services or products; change it weekly, monthly, or quarterly.
• Change your fonts and colors.

Also remember that you can have more than one signature line that caters to each group of people you connect with. It is easy to set them up in Microsoft Outlook and insert the appropriate one when needed.

If your organization is larger than one person, don’t forget your employees. Be sure they include these items in their signature lines when corresponding with customers and prospects. Make them consistent as it keeps with your company’s branding. While you’re at it, create a separate signature line when communicating with employees to boost morale and team performance. Remind them of employee incentives, programs or the upcoming company event.

    Nice article, Connie. I really believe in what you just said. 3 years ago I didn’t have a clue about the power of maximizing the signature line until I came across an email that did have one of those that you mentioned. Simply adding my business slogan and adding one-liner announcements has increased the repeat response rate of my emails by at least 2x. Keep the good tips coming! :)
